PAIA Manual
This manual is published in terms of Section 51 of the Promotion of Access to Information Act, 2000 (PAIA), read with the Protection of Personal Information Act, 2013 (POPIA), for Protium Technologies (Pty) Ltd (“Protium”).

3. The Regulator’s Guide

4. Records Held by Protium
We hold records in the following categories:
- Company records: founding documents, statutory registers, minutes and resolutions.
- Financial records: accounting records, invoices, banking details, tax records.
- Employment records: employee and contractor agreements, payroll and personnel records, job applications.
- Client and project records: agreements, proposals, project briefs, correspondence and enquiries.
- Operational records: policies, procedures and marketing materials, including website analytics.
5. Records Available in Terms of Other Legislation
Certain records are available in terms of other legislation, including the Companies Act, the Income Tax Act, the Value Added Tax Act, the Basic Conditions of Employment Act, and the Labour Relations Act.
6. How to Request Access to a Record
- Complete the prescribed request form (Form 2), available from the Information Regulator at inforeg.org.za.
- Send the completed form to the Information Officer at info@protium.co.za. Identify the record, state which right you seek to exercise or protect and why the record is required for that purpose, and provide proof of identity.
- The prescribed request and access fees may apply.
- We will respond within 30 days of receiving a complete request, as required by the Act. Access may be refused on the grounds set out in PAIA, in which case reasons will be provided.
7. Processing of Personal Information
In terms of POPIA, we process personal information of clients, prospective clients, employees, job applicants and website visitors for the purposes of providing our services, managing our business, recruitment, and improving our websites. Recipients are limited to our service providers, such as hosting and analytics providers, and authorities where the law requires disclosure. Some providers process information outside South Africa with protection consistent with POPIA. We apply reasonable technical and organisational security measures to protect personal information.
